Member Event Application

Join the MLH Hackathon Season.

Thank you for your interest in working with Major League Hacking. This application process helps our team get to understand your event, goals, and needs better. Please be sure to fill out each section with as much detail as possible.

For more information on our requirements, check out our Member Event Guidelines.

  • Your event must be open for attendees from outside your local institution.
  • Your event’s website must be translated into English and all announcements need to be in English as well. We do encourage you to have multiple languages available if the primary language of your event isn’t English.
  • Your event must be serving at least 80% students. Student attendees can be enrolled in any level of study at a middle school, high school, university or a  nontraditional school like a coding bootcamp, home school, online institution, or have graduated in the past year.
  • Your event must be free to attend and not have any fees associated with participation including entry fees, accommodation fees, or charging for food during the vent. All MLH Member Events must be free and accessible for all to attend regardless of their financial situation.

Please provide us with a two or three sentence long description of your hackathon. This description may be used on MLH's website, our partners' websites, and in social posts. Here are a few examples from fictional events!

  • Do you love sharks? Do you love hacking? SharkHacks3000 is the only hackathon in North America that combines both. Join us for 36 hours of hacking January 14-16!
  • AlaskaHacks is Alaska's only collegiate run hackathon. Join us for 24 hours of programming and hacking to save wildlife March 2nd and 3rd.
  • Hack N Jill is bringing gender equality to hackathons! At least half of our attendees are women or non-binary. Come build something amazing with us on September 9-10.
We have limited additional benefits for events we partner with. While selecting here does not guarantee we will be able to get you these, we will do our best according to availability. If there are many requests we will be prioritizing according to marketing progress. These will be assigned the first Monday of the month before your event.

Please input contact information for everyone on your organizing team. We use the list provided here to understand the size and scale of your team. We’ll use emails provided here to communicate any updates or requirements throughout your application.

Below are all of the documents and items that we require from your team to fully review your hackathon's application. As part of the application process we review and give feedback on documents so that we can see what stage of planning your event is at. If a section is not yet fully ready, add what you have so far so we can still offer advice, and we can circle back and update as you plan more. Please be assured that all the information you share will be safe with us and not be shared further without your permission.

We will also be reviewing your website when we review your documents. Even if your event is far away, you should have a placeholder website or landing page with the event date (or month if not yet decided), a way to pre-register for email notifications, and an FAQ. You can always update your website later with more content like new graphics, sponsors, and the schedule as they become available.

Organizer List

Please upload a list of the organizers on your team with their first name, last name, email, phone number, and team role. Keep in mind that this does not automatically add all organizers to the list of MLH email recipients, so make sure to also add relevant folks through the organizers form.

Venue Confirmation
Please upload a document or an email confirmation of the venue signed by authorized personnel from the venue's admin. The confirmation should include the name of the event, venue address, dates, amenities provided, and whether overnight access to the venue is allowed.

Itemized Event Budget

In order to put on a quality event, your team needs to have a budget in place. This will also help guide your fundraising efforts so that you know how much money to raise. We want to ensure that your event has the proper amount of funding to give your hackers a great experience. Please be sure to include all items like food and swag. Please get quotes from vendors, not just best estimates from your team. These should be split by cost per person/unit and state vendor/where you are ordering from, NOT just “Lunch: $3000”.

You can reference the Organizer Guide and budget template for more info.

Sponsorship Packet (Prospectus)

A document for your potential sponsors to learn about your event. You can see examples from previous events that gave us permission to share here. We will be checking things like length, that you have important contact information, and giving advice if we think your price tiers are too high or low based on your budget. We recommend your highest tier be about 25% of your event budget. It should also include the date of your event, your event's location, your event's type (physical, digital, hybrid), and your expected number of attendees.

Potential Sponsors List

A list of all companies your team either has reached out to already or plans to contact regarding sponsorship. This should include the format you are using for outreach with columns for point of contact, who on your team is reaching out, a column for notes/confirmation, etc. Your list should have 60 or more potential partners on it, even if you are still collecting contact information for each. This information will not be shared, we use this to see how your progress is so far and how much outreach you have done and plan to do. Check out this sample template.

Run of Show

A schedule of your event with who will be taking point on each task throughout the event. See our example here. While this does not have to be final yet, it is good to get a starting idea of how the day of the event will look.

Website and Registration

Website and Registration are just so we can add feedback, you do not need to upload anything here for them.

Please upload your event logos so we can list your event on mlh.io/events

  • Event Logo - 100x100px
  • Event Backsplash - 300x300px

We’ve partnered with various organizations to provide grants to hackathons to help cover the necessary costs of a hackathon. You can apply for any and all of these grants.

GitHub Education Grant (https://news.mlh.io/mlh-github-education-grants-supporting-diverse-hacker-communities-03-30-2022). GitHub Education is continuing to offer grants up to $1,000 USD (or the currency equivalent in your country or region) to select hackathons. All Member Events are encouraged to apply as part of their application process. GitHub Education is primarily awarding these grants to new events or events that focus on diversity, equity, and inclusion. If you are awarded a GitHub Education Grant for your hackathon, you will need to complete and submit a post-event report.

Please note that these will only be reviewed once your event has completed ALL Onboarding steps, but you can complete the application as early as you wish. Please reach out to league@mlh.io if you have any further questions about the GitHub Education Grant.
